With a database of over 20,000 contacts, a growing events programme, and multiple product lines, the business generates a significant volume of inbound leads every week.
The problem was simple but costly: every lead required manual qualification. A member of the team had to review each enquiry, assess whether the person was a good fit, ask the right questions, and then route them to the appropriate adviser or booking link. With leads coming in from webinars, social media, partner referrals, and lead magnets at all hours, the process was slow, inconsistent, and heavily reliant on key people.

At the heart of the system is an AI assistant built on Anthropic's Claude, trained on WealthBuilders' full product knowledge, qualification criteria, pricing, and sales methodology. The AI communicates via WhatsApp in a warm, professional, conversational tone — indistinguishable from a knowledgeable human team member.
The system was built on N8N, a powerful open-source automation platform, which acts as the central nervous system connecting every tool in the stack.

This was not a simple chatbot build. The project required navigating Meta's WhatsApp Business API approval process, setting up a correctly configured developer application, linking a WhatsApp Business Account to the automation, and verifying webhook endpoints — a process that proved significantly more complex than anticipated due to Meta's layered permission system.
Beyond the technical setup, the AI prompt required extensive refinement based on real client feedback — correcting factual details about products, qualification language, and ensuring the system never overpromises or misleads.
